AI Scheduling

Best Motion Alternatives in 2026

Motion is still the best tool on the market for turning a task list with deadlines into a realistic, self-replanning calendar, and if that single automatic day plan is the reason you pay, you should stay. If you mainly want a defended calendar and meeting hygiene, Reclaim.ai does the same job for roughly half the price with a genuine free tier. If you want to keep your existing project management stack and just have time blocked around it, Reclaim or Todoist will cost you less and migrate more easily.

Why people look beyond Motion

  • There is no free plan, so every seat starts as a paid trial
  • AI features now run on metered credits, so heavy AI use costs extra
  • Data is stored in Google Cloud in Iowa with no EU-only storage option
  • A calendar-only alternative can cost less than half as much per seat

#14.6Free tier

Reclaim.ai

Best for: Defending focus time and fixing meeting chaos across a whole team

The closest functional substitute for Motion's calendar brain, with a free tier Motion does not have and roughly half the seat price. You give up Motion's built-in project and task management unless you keep a second tool for that.

Permanent free Lite plan with real AI scheduling, not a countdown timer
Around half Motion's price per seat on annual billing
No project management of its own to fall back on
Free Lite plan; Starter $10/seat/month or Business $15/seat/month billed yearly (monthly $12 / $18)
Best free
Todoist logo
#24.5Free tier

Todoist

Best for: Anyone who wants a permanent free plan and a $5 upgrade

The cheapest credible way out of a Motion subscription if your real pain is task capture and organisation rather than automated scheduling. Accept that the AI plans your calendar for you.

Beginner plan is genuinely free forever, not a trial
Pro costs $5/month on annual billing
No automatic time-blocking - you still place tasks on the calendar yourself
Free Beginner plan; Pro $5/month billed yearly ($60/yr); Business $8/user/month plus tax billed yearly ($96/yr)
Best for power users
Akiflow logo
#34.4

Akiflow

Best for: Power users juggling many calendars, inboxes and lists in one window

Closest match to Motion for someone who lives in several tools at once and wants AI triage on top. You pay more up front and still need a separate meeting-notes budget if you want recordings.

Universal inbox pulls tasks, notes and calendar into one triage view
Aki assistant and a hosted MCP connector ship inside Pro
No permanent free plan and the card is required for the 7-day trial
No free plan; Pro $34/month monthly or $19/month yearly ($228/yr). Two-year option $357.60, five-year $699
Best for guided team planning
Sunsama logo
#44.4

Sunsama

Best for: Teams who want coaching and a hard daily ritual, not automation

A completely different philosophy: you do the daily planning inside the tool instead of letting an algorithm rewrite your week. Teams that have tried Motion and found the constant reshuffling disorienting tend to land here.

Guided daily planning with shutdown ritual rather than silent re-planning
Timeboxing and time tracking built in
Explicitly refuses to offer a free plan
No free plan; 14-day free trial with no card. $22/person/month monthly or $17/person/month billed yearly
Best for team value
ClickUp logo
#54.3Free tier

ClickUp

Best for: Teams that want one project management tool with AI added on

If you are leaving Motion because your projects outgrew it, ClickUp absorbs the project work at a lower per-seat price. Just accept that time-blocking goes back to being manual.

Unlimited $7 per user per month on annual billing is hard to beat
Gantt, time tracking, goals and workload management in one place
No automatic calendar scheduling anywhere in the stack
Free Forever plan; Unlimited $7/user/month yearly ($10 monthly); Business $12/user/month yearly ($19 monthly)
Best for enterprise
Asana logo
#64.2Free tier

Asana

Best for: Enterprises that need governance, admin controls and audit trails

The safe harbour when a security review or an IT rollout is the real constraint. You are buying administration and reporting rather than smarter personal scheduling.

Advanced tier adds SAML SSO, SCIM, audit log and admin roles
Mature portfolio and goal management for large organisations
Advanced tier costs more per seat than Motion's Business AI
Personal $0; Starter $10.99/user/month billed annually ($13.49 monthly); Advanced $24.99/user/month annually ($30.49 monthly)
Best for project breadth
monday.com logo
#74.1Free tier

monday.com

Best for: Visual project boards with AI agents on top

Useful when the deliverable list matters more than the daily schedule. Scheduling, which is why you are reading this page, is entirely on you.

Strong visual boards with 200+ templates
AI agents and monthly AI credits from the Basic tier up
No calendar-aware scheduling at all
Free plan up to 2 seats; Basic $9/seat/month, Standard $12, Pro $19 when billed annually
Best for budget AI time-blocking
Trevor AI logo
#84.2Free tier

Trevor AI

Best for: Cheap AI time-blocking for one person

The value pick if you are one person, want AI to place tasks on your calendar, and do not need a team product. The obvious first stop before paying Motion money.

Free plan already includes the AI task planner and smart calendar
Undercuts Motion by a wide margin at Pro level
No team layer, no project management, no dashboards
Free plan; Pro $5/month paid annually or $6/month paid monthly, with a 30-day money-back guarantee
Best for privacy and EU hosting
Morgen logo
#94.2

Morgen

Best for: Privacy-conscious users who want their data outside US infrastructure

The cleanest answer if the blocker is where your calendar data physically sits. Motion stores data in Google Cloud in Iowa and cannot currently offer EU-only storage; Morgen is built the other way round.

Swiss-hosted and GDPR compliant, which Motion is not for EU-only storage
Unlimited calendar and task integrations on paid plans
No permanent free plan
14-day free trial with no card; Pro $30/month or $15/month yearly; Team $25/seat monthly or $10/seat yearly, minimum 2 seats

If you are looking at Motion alternatives, the short answer is that Reclaim.ai is the strongest overall replacement - it defends your calendar with AI at roughly half the seat price and, unlike Motion, has a permanent free plan. Motion itself remains the best tool for turning a task list with deadlines into a self-replanning workday, so nobody should switch purely on price. Switch when your calendar is the problem you are trying to solve, and the project planning side of Motion is just cost you are not using.

Motion is not a to-do list. It is a scheduler first: you set tasks with durations, deadlines and priorities, and its algorithm decides what goes where on your calendar, then rewrites that plan whenever something moves. Motion calls itself an all-in-one work platform and reports 40,000+ paying users across 30+ countries. As of 14 October 2026, Motion’s pricing page lists Pro AI at $19 per seat per month and Business AI at $29, with annual billing advertised as saving 33%, and AI features running on a credit meter of 7,500 or 15,000 credits per seat per month.

Why look for a Motion alternative?

There is no free plan, so you cannot keep evaluating it. Motion’s pricing page leads with “Start your free trial” and offers two paid tiers. The terms of service confirm that free trials are granted at Motion’s discretion and that billing begins when the trial ends. There is no permanent zero-cost tier, which is a genuine structural difference from almost everything in this list - Reclaim, Todoist, ClickUp, Asana, monday.com and Trevor AI all have a free plan you can keep.

AI now costs credits on top of your seat. Pro AI includes 7,500 credits per seat per month and Business AI 15,000, with top-ups billed separately. If your usage is heavy, or if you add people who barely use AI, the meter becomes a line item you have to watch.

The data residency position is restrictive. Motion’s security documentation is unusually candid: NexusBird, Inc (dba Motion) holds SOC 2 Type II, but all data sits in Google Cloud in the Iowa region and, in Motion’s own words, it is not currently possible to request EU-only storage. The same page confirms Motion does not train AI models on your data and that its LLM providers - OpenAI, Anthropic and Google - do not use your inputs to train. That is reassuring, but it is not the same as being able to keep the data in Europe.

You may not need a scheduler at all. Motion’s pricing page shows its own comparison set: Wrike, Asana, ClickUp and monday.com. If your scheduling needs are modest, the AI day planner is the feature you are paying for, and a conventional project tool with a good calendar view may serve you better.

The category just lost a major player. Clockwise, one of the best-known AI scheduling tools, confirmed in its shutdown announcement that the team was joining Salesforce and that the product would no longer be available from 27 March 2026, with all user data deleted afterwards. Clockwise points migrating customers at Reclaim and says Reclaim has committed to a 100% price match for migrating Clockwise paid customers. If you were already evaluating a switch, that migration path is unusually well-supported.

How I chose these alternatives

Prices, plan names and limits come from vendor pricing pages and documentation checked on 14 October 2026.

Each product was judged on the criteria that actually matter in this category: how well it handles scheduling and calendar work, how hard it is to live in day to day, price and what the free tier really gives you, integration coverage, collaboration and admin depth, customisation, reliability and vendor stability, privacy and security posture, platform support, how painful the migration would be, and whether it holds up beyond a handful of users.

Motion’s trial terms come from its own pricing page and terms of service. Vendor comparison pages can disagree with those terms; Reclaim’s page, for example, describes a 14-day Motion trial. Unconfirmed prices are omitted, and ratings are editorial judgements on a five-point scale.

The single most useful fact for anyone comparing these tools: Motion is a scheduler that happens to include project management. If your problem is protecting focus time, you are overpaying. If your problem is knowing what to work on today, you should not leave.

1. Reclaim.ai - Best overall

Reclaim.ai is the closest thing to a straight swap for Motion, and the strongest pick in this list overall. It connects Google and Outlook calendars, then continuously moves your meetings, defends focus time, and places tasks onto the gaps. Rather than Motion’s single “plan my day” engine, Reclaim ships a library of individual AI agents for Focus Time, Habits, Buffer Time, Smart Meetings and Meeting Quality.

Pricing and free tier. Reclaim’s pricing page sets out four tiers. Lite is free forever and is not a stub: it gives one user, five AI agents, a one-week scheduling horizon, one calendar sync and one scheduling link. Starter is $10 per seat per month billed yearly, or $12 monthly, for up to 10 seats with 10 agents per seat. Business is $15 per seat per month yearly, or $18 monthly. Enterprise is annual-only with a contact-sales model, and it is the only tier with SSO, SCIM, domain capture and dedicated support. Annual billing is advertised as saving 20%.

Why it is a valid alternative. Reclaim does the same core job - continuously rearranging your calendar around your priorities - for roughly half Motion’s seat price, with a free tier Motion does not have. It is also narrower in a way that helps: it syncs tasks from Todoist, Asana, ClickUp, Jira, Linear and Google Tasks rather than trying to be your project management system.

Strengths. Real free tier. Post-meeting and pre-meeting buffers that defend time automatically. Task sync from six major work systems, so most teams can keep the project tool they already have. A scheduling range that extends to eight weeks on Starter and twelve on Business.

Limitations. No project management to speak of - if your reason for using Motion was the project and capacity planning layer, Reclaim leaves that hole open. The free plan caps you at one user. Connected calendars, calendar syncs and scheduling links all have per-plan limits, and extra attendee-user seats are sold in packs. Reclaim also bills for some attendee seats above a free allowance, which needs watching on larger teams.

Direct comparison with Motion. Motion wins on scheduling tasks from a project plan, on Gantt and timeline views, on time tracking, on capacity planning and on permission controls - all Business AI features. Reclaim wins on price, on the free tier, on agent granularity, on task-tool integrations and on chat-style control over your own calendar. Reclaim’s own comparison page claims Motion lacks conversational AI over scheduling data; whether or not you accept that framing, Reclaim’s Planner and AI Assistant are genuinely different interaction models from Motion’s auto-planning.

Verdict. Move here if Motion is your calendar brain. Stay on Motion if Motion’s project layer is load-bearing.

2. Todoist - Best free

Todoist is the best free answer to Motion alternatives because it has a real free plan and a $5 upgrade, and because most people who think they need an AI scheduler actually need an excellent task list with natural language capture.

What it does. Task capture in plain language, list, board and calendar views, priorities, recurring due dates, filters, productivity visualisation and more than 90 integrations. Pro adds calendar layout, task duration, deadlines, custom reminders and Task Assist.

Pricing and free tier. Todoist’s pricing page sets out three tiers. Beginner is free forever with 5 personal projects, 3 filter views, one week of activity history and limited voice-capture sessions. Pro is $5 per month billed yearly at $60, and Business is $8 per user per month plus local tax at $96 per year, with 300 personal projects, 500 team projects, 1,000 team members and roles and permissions. Todoist is now SOC2 Type II compliant, which matters if you are moving a team onto it.

Strengths. The cheapest credible exit from a $19-per-seat subscription. Fast capture, genuinely good keyboard-first workflow, strong cross-platform apps, and a long track record. For a small team, Business at $8 per user is less than half Motion’s Pro AI.

Limitations. The decisive one: Todoist does not put tasks on your calendar for you. Calendar layout shows tasks on a calendar; it does not negotiate around existing events, defend focus time or replan when something slips. You are back to manual placement. The free plan’s 5-project cap is genuinely limiting for anyone with real client or project structure.

Direct comparison with Motion. Motion automates the decision of when to work on something; Todoist helps you decide and then trusts you to place it. If you already know your week and just want a superb task system, Todoist wins on value by an enormous margin. If you want the day planned for you, it is not a substitute.

Verdict. Best free pick, and the right call for individuals and small teams who never adopted Motion’s scheduling habit.

3. Akiflow - Best for power users

Akiflow is the power-user pick: a universal inbox that pulls tasks, notes and calendar items into a single triage window, with an AI assistant and a hosted MCP connector in the base plan.

Pricing and free tier. There is no permanent free plan. According to Akiflow’s published pricing FAQ, new customers get a 7-day full-access trial that requires a card, and the selected subscription begins afterwards unless cancelled. Pro is $34 per month billed monthly or $19 per month billed yearly at $228, a 44% saving. Longer commitments exist: $357.60 for two years and $699 for five years. Aki, the AI executive assistant, and the MCP connector are included. A student and researcher discount of 40% off Pro Yearly is available after academic-email verification. Team pricing is handled by sales rather than published.

Strengths. Built for people whose work lives in fifteen tabs. Triage and planning in one surface, MCP connector for agent workflows, unlimited calendar and task integrations, and a free 1:1 onboarding call on Pro.

Limitations. No free plan and a card up front is a real barrier for the merely curious. The AI Meeting Assistant - recording, transcripts, summaries and action items - is a separate $19-per-month add-on, so the all-in cost is not what the headline suggests. Prices can differ by country through local purchasing-power pricing.

Direct comparison with Motion. Motion’s pitch is that it plans your day automatically. Akiflow’s is that you plan in one place with AI assistance. For someone with a very fragmented workflow, Akiflow’s triage surface may beat Motion’s automation, because you keep control of placement. For someone who wants zero decisions made for them, Motion is still better.

Verdict. Worth it if you live across many tools and want an AI chief of staff rather than an algorithm. Not worth it for a simple personal schedule.

4. Sunsama - Best for guided team planning

Sunsama takes the opposite philosophy to Motion: rather than silently rearranging your week, it walks you through a short daily planning ritual with a timeboxing step and a shutdown ritual at the end of the day.

Pricing and free tier. No free plan, and Sunsama says so deliberately. The 14-day free trial requires no credit card. Pro is $22 per person per month billed monthly or $17 per person per month billed yearly, with unlimited usage, integrations, timeboxing, focus mode and time tracking. Longer commitments are discounted. Sunsama is SOC2 compliant and explicitly designed for companies where IT has to approve new software.

“Sunsama doesn’t have a free forever plan and doesn’t plan to. Free plans create bad incentives that hurt our users.”

That is Sunsama’s own stated reasoning, published in its pricing manifesto on the pricing page, and it is worth reading before you rule the product out on price. It is also the clearest signal that Sunsama competes on being the opposite of a free-tier utility.

Strengths. Team rituals that actually get used, timeboxing, time tracking, shutdown ritual, and a strong posture for security review. Pricing in whole dollars with no Black Friday discounts.

Limitations. Per-person pricing makes it expensive for teams, there is no free plan by design, and it is deliberately lower on automation than Motion. If you want the schedule to rewrite itself while you sleep, Sunsama will disappoint.

Direct comparison with Motion. Motion is automation you can override. Sunsama is a daily conversation with a coach. Teams that found Motion’s constant reshuffling disorienting - a recurring complaint - often settle here.

Verdict. The right answer for teams who want planning discipline rather than planning software.

5. ClickUp - Best for team value

ClickUp is where you go when you are leaving Motion because your projects outgrew it, rather than because your calendar did.

Pricing and free tier. Free Forever, with 60MB storage, unlimited tasks and unlimited free plan members. Unlimited is $7 per user per month billed yearly, or $10 monthly, adding unlimited storage, integrations, Gantt charts, custom fields, native time tracking, goals and resource management. Business is $12 per user per month yearly, or $19 monthly, adding unlimited dashboards, webhooks, automations, portfolio workload management, Google SSO and SMS 2FA. Enterprise is custom.

Strengths. $7 per user per month is the cheapest full project platform in this list, and the free tier is genuinely permanent and generous. If you keep a separate project tool already - Jira, Asana, ClickUp - Reclaim will schedule its tasks, so the combination costs about $12 per user a year at the annual rate rather than Motion’s $19 plus a second tool.

Limitations. No automatic calendar scheduling anywhere in the product. The feature density is genuinely hard to learn, and the interesting automation sits in Business, not Unlimited.

Direct comparison with Motion. ClickUp does not try to plan your day and does not pretend to. What you get instead is a much deeper project system with cheaper seats. Reclaim plus ClickUp is the most common pairing I would recommend over Motion for a mid-sized team.

Verdict. Best value for teams. Pair it with Reclaim if scheduling still matters.

6. Asana - Best for enterprise

Asana is the enterprise answer: deep governance, mature reporting, and pricing that only becomes expensive at the top tier.

Pricing and free tier. Personal is $0 for individuals. Starter is $10.99 per user per month billed annually, $13.49 billed monthly, with unlimited projects and history for multiple assignees. Advanced is $24.99 per user per month annually, $30.49 monthly, adding timeline Gantt views, workload, portfolios, goal management, forms and rules. A separate AI add-on runs from $5.99 per user per month billed annually, and AI requests are metered beyond included allowances.

Strengths. SAML SSO, SCIM provisioning, audit log and granular admin roles on Advanced. Widely recognised by security teams, which removes procurement friction. Strong portfolio and goal management for larger organisations.

Limitations. Advanced costs more per seat than Motion’s Business AI. Timeline capacity planning is manual - you assign against a timeline yourself rather than letting an algorithm allocate it. For a single user, Asana is heavy.

Direct comparison with Motion. You are trading an automatic scheduler for a governance and reporting platform. That is the correct trade when the blocker is a security questionnaire or an IT rollout, and the wrong trade if the blocker is “my days never get planned”.

Verdict. Keep Motion for individuals; move to Asana when the organisation, not the person, is the unit of work.

7. monday.com - Best for project breadth

monday.com is a visual work management platform with AI agents layered on top, and it is one of the vendors Motion explicitly positions against.

Pricing and free tier. Free forever for up to 2 seats, with up to 3 boards and 3 docs. Basic is $9 per seat per month billed annually, Standard $12, Pro $19, with a $10-per-month promotional discount visible at time of checking. AI features are available from Basic upward, metered in AI credits that can be topped up.

Strengths. The most legible visual board of the group, with 200+ templates and column types most teams already know. Agents handle repetitive tasks, and eight column types plus automations carry a lot of process without code.

Limitations. No calendar-aware scheduling of any kind, so scheduling stays entirely manual. The free plan’s 3-board limit is restrictive, and credit-based AI adds cost unpredictability on top of seats.

Direct comparison with Motion. If your pain is tracking deliverables across many clients, monday.com is more approachable and cheaper than Motion at the top tiers. If your pain is knowing what to do at 9am, it does not help.

Verdict. A solid project tracker, but it solves the project half of the problem only.

8. Trevor AI - Best for budget AI time-blocking

Trevor AI is the cheapest route to the specific thing Motion is famous for: an AI that estimates how long tasks take and drops them into the right calendar gaps.

Pricing and free tier. The free plan is not a demo. It includes the Task Hub, the smart planner synced to Google or Microsoft calendar in real time, unlimited task scheduling with drag-and-drop and in-schedule suggestions, Focus mode, predicted task durations and AI scheduling suggestions. Pro is $5 per month paid annually, or $6 per month paid monthly, with a 30-day money-back guarantee and a trial that may be included. Pro adds multiple calendar accounts, a personal AI model that adapts to your scheduling history, recurring scheduled tasks, the Smart Scheduling Queue, rescheduling suggestions, scheduling blocks and the Ask Trevor assistant.

Strengths. Free tier that actually schedules. Predictable pricing that undercuts Motion by 75% at Pro level. Focus mode with a timer, note field and five-step AI task breakdown. Hosted on Google and Amazon infrastructure with a stated GDPR stance, export and deletion rights, and a no-training commitment on its own scheduling model.

Limitations. No team features, no project management, no dashboards or reporting. A much smaller vendor with a shorter integration list. Duration prediction only improves as it learns your patterns.

Direct comparison with Motion. For a single user with a Google or Microsoft calendar, Trevor delivers the core of Motion’s value for free or $5 a month. It loses badly on projects, collaboration and the breadth of Motion’s task manager.

Verdict. Try this first. If it does not survive a month, Motion probably will not either.

9. Morgen - Best for privacy and EU hosting

Morgen is a personal planner and calendar layer with an AI planner, task management and calendar automations, built around Swiss hosting.

Pricing and free tier. A 14-day free trial with full access and no credit card, plus a 30-day money-back guarantee, according to Morgen’s pricing page. Pro is $30 per month billed monthly or $15 per month billed yearly. Team is $25 per seat per month monthly or $10 per seat yearly, with a two-seat minimum. Paid plans include unlimited calendar and task integrations, calendar automations, a booking page and scheduling links, and apps for Windows, macOS, Linux, mobile and browser.

Strengths. Swiss-hosted and GDPR compliant, which is precisely what Motion cannot offer today. Cross-platform desktop support including Linux, which most competitors skip. A generous money-back guarantee for a product without a free plan.

Limitations. No permanent free tier, a two-seat minimum on Team even at the annual rate, and no project management or serious team reporting. At $30 monthly it is the second most expensive individual plan in this list.

Direct comparison with Motion. The comparison is really about compliance, not features. If your IT team cannot accept US-only data residency, Motion is a non-starter and Morgen is the answer. If residency is fine, Motion’s deeper product for a similar annual commitment is the better buy.

Verdict. The cleanest choice when data residency is the blocker, and a competent general planner otherwise.

Which Motion alternative should you choose?

  1. Your main problem is meeting chaos and lost focus time - pick Reclaim.ai. Its free Lite plan lets you test the core behaviour before paying anything.
  2. You want a permanent free plan and a $5 ceiling - pick Todoist, accepting that placement on the calendar is manual.
  3. You are one person and want AI time-blocking cheaply - pick Trevor AI, whose free plan already schedules tasks into your calendar.
  4. You juggle many tools and want AI triage rather than automation - pick Akiflow, and budget for the meeting add-on if you want recordings.
  5. Your team wants a daily planning ritual instead of silent automation - pick Sunsama, and get budget sign-off for per-person pricing first.
  6. Your projects outgrew Motion - pick ClickUp at $7 per user per month yearly, and add Reclaim if scheduling still matters.
  7. Security review or IT rollout is the blocker - pick Asana, specifically the Advanced tier for SSO, SCIM and audit logs.
  8. You want approachable visual boards with AI agents - pick monday.com.
  9. EU data residency is a hard requirement - pick Morgen. It is the only option in this list advertising Swiss hosting and GDPR compliance.

When you should keep Motion

Keep Motion if Motion’s automatic day plan is the thing that actually changes your behaviour. If you open it, glance at what it scheduled, and work from that - no alternative here replicates that loop as tightly, because they all leave the “when” to you to a greater or lesser degree.

Keep Motion if you use the Business AI tier for the parts that have nothing to do with scheduling: team capacity planning, timeline and Gantt views, time tracking, permissions and access control. Replacing those with ClickUp plus Asana plus Reclaim costs more money and more migration work than the scheduling saving is worth.

Keep Motion if your work lives inside Motion already. The scheduling engine is the product, and the surrounding task, docs, wiki, notes and meeting notetaker features on Pro AI - 7,500 credits per seat per month for all of it - are not cheap to reassemble elsewhere.

Keep Motion if you have already paid annually and your usage is within the credit allowance. A migration costs a weekend of friction to save money you may not be saving.

When switching makes sense

Motion has no free tier and you are still evaluating. Stop trialling. Move to Reclaim Lite or Todoist Beginner and live on them for a month. That costs nothing and tells you whether you are even a scheduling-product person.

You are paying Business AI prices but only use personal planning. You are paying $29 per seat for capacity planning and access control you never open. Reclaim Starter at $10 per seat per seat yearly, or ClickUp Unlimited at $7 per user, delivers most of the day-to-day value at a third of the cost.

The credit meter worries you. Motion charges per seat and meters AI. ClickUp and Asana give you project management without a scheduler-side AI meter at all, and monday.com’s credits are bundled into lower tiers.

Your company requires EU data residency. Motion states plainly that data is held in Google’s Iowa region and that EU-only storage cannot currently be requested. Move to Morgen, or negotiate an enterprise agreement with Motion directly.

Clockwise disappeared and you need its replacement. Clockwise’s product ended on 27 March 2026 after the team joined Salesforce. Reclaim is the migration path Clockwise itself named, with a 100% price match for migrating paid customers and priority migration support.

AI reshuffling makes you anxious rather than productive. If the constant replanning is a source of friction, the problem is the product’s philosophy, not its execution. Sunsama gives you a deliberate, guided five-minute daily plan instead.

How to migrate without chaos

Run both in parallel for two to four weeks. Do not cancel Motion on day one. Calendar conflicts get noisy when two schedulers write to the same Google or Outlook account, so pause automatic scheduling in whichever tool you are not using before you import anything.

Keep your calendar in one place. Motion’s native integrations cover Google Calendar, Outlook 365, iCloud, Zoom, Microsoft Teams, Google Meet, Gmail, Zapier and Siri, and it also has an API available to all users. Your calendar data lives in Google or Microsoft either way. Only the tasks need to move.

Move tasks in the destination’s direction of strength. Going to Reclaim or Trevor AI, re-enter tasks into their own task hub with durations, because that is what drives the scheduling. Going to ClickUp, Asana or monday.com, rebuild the project structure first and let scheduling fall away entirely - it does not exist there.

Expect Reclaim to do the importing for you. Reclaim syncs tasks from Todoist, Asana, ClickUp, Jira, Linear and Google Tasks. If your team already keeps tasks in one of those, connect it rather than re-typing, and let Reclaim’s agents schedule from the synced list.

Do not migrate the AI knowledge layer unless you have to. Motion’s Docs, Wiki, Notes and Meeting Notetaker output is the hardest part to move. Export or copy what you actually reference, accept that meeting history will not come with you, and keep Motion alive for a month as a read-only archive if the notes matter.

Re-point the automations last. Gmail forwarding to create tasks, Zoom scheduling and Zapier flows all point at Motion. Rebuild them in the new tool after your task structure is stable, not before.

Check the billing switch on a clean boundary. Reclaim, ClickUp and Asana all prorate differently, and Reclaim’s Business tier is annual-only for Enterprise. Move at a quarter boundary, not mid-cycle.

Final recommendation

Best overall: Reclaim.ai. It does Motion’s actual core job - a calendar that rearranges itself around your priorities - for about half the seat price, it has a permanent free plan Motion does not, and it syncs tasks from the project tools most teams already use. The trade is project management, which you will need to keep or replace.

Best free: Todoist. Beginner is free forever, Pro is $5 per month on annual billing, and it is excellent at everything except deciding when you should work on something.

Best for power users: Akiflow. Universal inbox triage with an AI assistant and MCP connector included, at $19 per month yearly, if you can live without a free plan and with a separate fee for meeting recordings.

Who should keep Motion. Anyone whose productivity actually depends on opening a self-planned day and working from it, and anyone using Business AI for capacity planning, Gantt timelines and access control.

Who should switch. Anyone paying $19 or $29 per seat for calendar tidying they could get for $10, or for free; anyone who never touches the AI features and does not want a credit meter; anyone whose IT team requires EU data residency; and anyone starting to evaluate scheduling tools today, who should look at Reclaim’s free Lite plan and Trevor AI’s free plan before paying for anything.

Frequently asked questions

What is the best Motion alternative overall? Reclaim.ai. It performs the same core function of continuously rearranging your calendar around priorities at $10 per seat per month on Starter or $15 on Business when billed yearly, versus Motion’s $19 Pro AI and $29 Business AI, and it includes a free forever Lite plan. Its weakness is real: it has no project management layer, so if your work was planned in Motion, you keep or replace that tool.

Is there a free alternative to Motion? Yes. Reclaim’s Lite plan is free forever and still includes AI focus time, habits, buffer time, smart meetings, a planning horizon and unlimited task scheduling, capped at one user with a one-week scheduling range. Todoist’s Beginner plan is also free forever, but it does not place tasks on your calendar. Motion has no permanent free plan at all - only a trial.

How much does Motion cost? $19 per seat per month for Pro AI and $29 per seat per month for Business AI, with annual billing advertised as saving 33%. Pro AI includes 7,500 AI credits per seat per month and Business AI 15,000, with additional credit packs sold on top. Motion bills per seat, so a ten-person team on Pro AI is roughly $2,280 a year on annual billing.

Does Motion have a free plan or a free trial? Only a trial. The pricing page offers a free trial call to action and the terms of service state that free trials are offered at Motion’s discretion, with the subscription beginning when the trial ends. There is no zero-cost tier you can keep indefinitely, which is the single clearest pricing difference between Motion and most tools in this list.

Which Motion alternative is cheapest? Trevor AI. Its free plan already includes the AI task planner, the calendar-synced smart planner, predicted task durations and scheduling suggestions. Pro is $5 per month on annual billing or $6 monthly with a 30-day money-back guarantee. Todoist Pro matches that price but does not schedule anything for you.

What happened to Clockwise? It shut down. Clockwise confirmed the team was joining Salesforce and that the product would no longer be available from 27 March 2026, with all user data deleted shortly afterwards and prorated refunds issued for unused prepaid time. Clockwise directs customers to Reclaim, which committed to a 100% price match for migrating Clockwise paid customers plus priority migration support.

Which Motion alternative is best for a small team? ClickUp for project work - $7 per user per month on annual billing, or $12 for Business with dashboards and automations - paired with Reclaim Starter at $10 per seat per month if you still want automatic scheduling. Sunsama is the alternative for teams who prefer a guided daily planning ritual; just budget for per-person pricing starting at $17 per month on annual billing.

Can I keep my calendar data in Europe? Not with Motion. Its security documentation states that all data is hosted on Google Cloud in the Iowa region and that it is not currently possible to request EU-only storage. Motion does hold SOC 2 Type II and states it does not train AI models on customer data, but residency is the gap. Morgen is the option in this list advertising Swiss hosting and GDPR compliance, starting at $15 per month on annual billing.

Should I switch away from Motion? Only if one of three things is true. If your real problem is calendar and meeting hygiene rather than project planning, Reclaim.ai costs about half as much and has a free tier. If you never use Motion’s AI features and want project management without a scheduler, ClickUp or Asana cover you. If data residency blocks you outright, move to Morgen. If Motion’s automatic day plan genuinely changes what you finish, keeping it is the correct call.

Common questions

FAQs about Motion alternatives

What is the best Motion alternative overall?

Reclaim.ai. It does the same core job of continuously rearranging your calendar around your priorities, and it does it for $10 per seat per month on Starter or $15 on Business when billed yearly, against Motion's $19 Pro AI and $29 Business AI. It also has a free forever Lite plan. The gap is project management: Motion plans your projects, Reclaim plans your time.

Is there a free alternative to Motion?

Yes, two genuine ones. Reclaim's Lite plan is free forever and still includes AI focus time, habits, buffer time and unlimited task scheduling, limited to one user with a one-week scheduling horizon. Todoist's Beginner plan is free forever but does not schedule anything onto your calendar. Motion itself has no permanent free plan, only a trial.

How much does Motion cost in 2026?

Motion's Pro AI plan is $19 per seat per month and Business AI is $29 per seat per month, with annual billing advertised as saving 33%. Pro AI includes 7,500 AI credits per seat per month and Business AI includes 15,000, with top-ups sold as extra credit packs.

Does Motion offer a free plan or a free trial?

Only a trial. The pricing page offers a 'Start your free trial' call to action and the terms of service say free trials are offered at Motion's discretion with billing starting when the trial ends. There is no permanent free tier at any credit allowance, so you cannot evaluate Motion at zero ongoing cost.

Which Motion alternative is cheapest?

Trevor AI. Its free plan includes the AI task planner and smart calendar, and Pro is $5 per month on annual billing or $6 monthly with a 30-day money-back guarantee. Todoist Pro at $5 per month yearly is the same price but without automatic time-blocking.

What happened to Clockwise?

It is gone. The Clockwise team joined Salesforce and the company confirmed the product would no longer be available from 27 March 2026, with all user data deleted shortly afterwards. Clockwise itself points migrating customers at Reclaim, which offers a 100% price match for migrating Clockwise paid customers.

Which Motion alternative is best for a small team?

ClickUp for project work at $7 per user per month on annual billing, or Sunsama if you want a team daily planning ritual rather than automation. Both cost less per seat than Motion's Business AI tier, and ClickUp additionally has a permanent free plan.

Can I keep my data in Europe instead of the United States?

Not with Motion. Motion's security documentation states that data is stored in Google Cloud in the Iowa region and that EU-only storage cannot currently be requested. Morgen is the alternative in this list that advertises Swiss hosting and GDPR compliance.

Should I switch away from Motion?

Only if one of three things is true: you are paying Motion mainly to protect calendar space rather than to auto-plan projects, in which case Reclaim.ai is roughly half the price; you never use the AI features and the credit meter worries you, in which case ClickUp or Asana give you project management without a scheduler; or data residency blocks you, in which case Morgen. Among Motion alternatives, this is a narrow decision, and if Motion's automatic day plan genuinely changes what you get done, keep it.
