AI Meeting Notes

Best tl;dv Alternatives in 2026

If you are already on tl;dv Pro or Business and happy with the Zapier-based automation layer, the product is solid and there is no reason to move - the free tier and the $18 Pro plan are genuinely good value in 2026. Switch when the roughly-10-meeting AI notes cap on free starts costing you real work, when you want in-person capture, or when a competitor gives you conversation intelligence at a comparable seat price. Fathom is the strongest overall alternative because its free plan is unlimited and its paid plans are cheaper per seat than tl;dv's Pro; Fireflies takes the power-user crown on analytics depth, and Circleback is the pick if you want a real free tier plus API, MCP and CLI access on day one.

Why people look beyond tl;dv

  • The free tier caps AI meeting notes at roughly 10 meetings, so heavy users hit the wall quickly
  • You want a per-seat price that stays flat instead of usage-based AI fees
  • You need in-person meeting capture, agenda tooling, or aggressive CRM automation that tl;dv handles less deeply
  • You want EU-hosted or compliance-first options with stricter data-residency controls

Fathom logo
#14.7Free tier

Fathom

Best for: Daily note-taking for individuals and small teams

The closest tl;dv replacement with a better free tier and a cheaper upgrade. Choose it if your main job is turning every call into usable notes and action items, and you are not tied to tl;dv's specific playbook and coaching features.

Free plan has unlimited recordings, transcriptions and instant AI summaries with no time limit
Bot-free capture is available in beta, so the notetaker can stay out of the call
CRM sync caps at three users per domain on non-Enterprise plans
Free plan forever; Premium $20/user/month monthly or $16 billed annually; Team $19 monthly or $15 annual (2-user minimum); Business $34 monthly or $25 annual; Enterprise custom
Best for power users
Fireflies logo
#24.5Free tier

Fireflies

Best for: Sales, revenue and customer success teams that analyse calls at scale

Pick Fireflies when the notes are a by-product and the real goal is coaching, pipeline insight and call analytics. The trade-off is a much weaker free tier than Fathom or Circleback and a credit system that punishes very high usage.

Deepest conversation analytics: talk time, sentiment, question detection, topic trackers
Ask Fred assistant plus Personal Assistant, Email Assistant and AI Skills
Free tier is thin: about three transcriptions, no video and roughly five hours of team storage
Free plan; Pro $18/seat/month monthly or $10 billed annually; Business $29 monthly or $19 annual; Enterprise $39 per seat/month, annual billing only
Best for large mixed-access teams
Grain logo
#34.4Free tier

Grain

Best for: Product, research and revenue teams with many viewers but few recorders

The best-value option when most of your company only needs to watch and read notes. The trade-off is a short free meeting limit and a paid tier jump for the CRM integrations most revenue teams actually need.

Unlimited free viewer seats, so viewers and collaborators never need a paid licence
No-bot AI notes on every plan, including free
Free plan caps meetings at 45 minutes and history at 30 days
Free plan (45-minute meeting cap, 30-day history, unlimited free viewer seats); Starter $15/seat/month billed annually or $19 monthly; Business $29 annual or $39 monthly; Enterprise custom
Best for enterprise and compliance
Read AI logo
#44.2Free tier

Read AI

Best for: Regulated organisations and enterprises that need SAML, SCIM and HIPAA

Choose Read AI when procurement, security review or data residency outranks note quality. Against tl;dv it is heavier and more expensive per seat, but it carries the compliance paperwork a regulated buyer will ask for.

SAML SSO, SCIM, domain capture and custom data retention on Enterprise+
HIPAA compliance and enterprise workspace onboarding
Free tier is only five meeting reports per month and one-hour meetings
Free plan (5 meeting reports per month); Pro $19.75/user/month monthly or $15 billed annually; Business $29.75 monthly or $22.50 annual; Enterprise+ $39.75 monthly or $29.75 annual, requires 5+ licences
Best free developer option
Circleback logo
#54.4Free tier

Circleback

Best for: Apple-heavy teams and developers who want API, MCP and CLI on a free plan

The best tl;dv alternative if you want a genuinely useful free tier that developers can build on. It wins on access and mobility and loses on the depth of sales analytics.

Free plan keeps 30 days of history and still includes API, MCP and CLI access
One of the few tools with both a bot and a bot-free desktop capture option
Free history is only 30 days and recording storage on free is minimal
Free plan; Pro $15/user/month; Business $25/user/month; Enterprise $35/user/month with automatic volume discounts
Best budget pick
Fellow logo
#64.2Free tier

Fellow

Best for: Teams that run meetings from a shared agenda rather than from a bot

Fellow is the budget answer: at $7 per user per month it undercuts every other paid option here. Its trade-off is that it is an agenda-first product, so it suits teams already disciplined about running meetings rather than teams who just want a recorder.

Cheapest paid entry point of any serious competitor at $7 per user per month on annual billing
Meeting agendas, pre-meeting reminders, no-agenda-day policy and cost calculator
Free plan gives only five AI notes per user for life, so it is a sample rather than a working tier
Free plan (5 AI notes for life); Team $7/user/month billed annually or $11 monthly; Business $15 annual or $23 monthly; Enterprise $25 per user/month annual, 10-user minimum
Best for customer-facing calls
Avoma logo
#74.3

Avoma

Best for: Customer-facing teams that live in the CRM

Avoma is the specialist for teams whose meetings end in CRM updates. It costs more than Fathom or Fellow once the add-ons are on, but it removes the manual data entry that tl;dv automates only through Zapier or field mapping.

Viewers and collaborators are always free, so only recorders need a licence
Native CRM write-back for Salesforce, HubSpot, Zoho, Pipedrive and Copper plus dialer integrations
No permanent free plan - the 14-day trial drops you to a viewer role afterwards
No permanent free plan; 14-day trial of the Organization plan; Startup $19 per recorder seat/month billed annually or $29 monthly; Organization $29 annual or $39 monthly; Enterprise $39 annual, 10-seat minimum
Best budget transcription
Notta logo
#84.1Free tier

Notta

Best for: Multilingual transcription on the tightest budget

Notta is the value pick when transcription volume and language coverage matter more than workflow depth. The three-minute cap on the free plan means it is effectively a paid product with a token free tier.

Pro at $8.17 per month on annual billing is among the cheapest paid tiers available
Free tier includes 120 transcription minutes a month and speaker identification
Free conversations are capped at three minutes each, which makes it unusable for real meetings
Free plan (120 transcription minutes per month, 3 minutes per conversation); Pro $8.17/month billed annually, $97.99 per year; Business $16.67/month billed annually; Enterprise custom from 51 seats

tl;dv alternatives are worth a serious look if you have outgrown the free tier, because the gap between the cheapest good option and tl;dv Pro has narrowed to a few dollars a seat. My pick is Fathom for almost everyone: its free plan is unlimited rather than metered, and its paid plans cost less per seat than tl;dv’s. If your real goal is sales analytics rather than tidy notes, look at Fireflies instead.

Why look for a tl;dv alternative?

The free tier has a ceiling, and it sits right where real usage starts. tl;dv still offers a genuinely permanent free plan - the pricing page offers it with no credit card required - but the AI layer is rationed. As of 14 October 2026 the free plan includes unlimited video recordings and unlimited transcription in 30+ languages, with AI meeting notes covering roughly ten meetings and a small allowance of Ask AI queries on top. If you take more than a handful of calls a week, you are on a paid plan. That is a fair business model, but it is the single biggest reason people look elsewhere.

Per-seat pricing has drifted upward for the analytics you actually want. tl;dv’s Business plan is $59 per seat per month billed annually and advertises “no usage-based AI fees”. That is a lot for a team that mostly wants notes. Fathom Business is $25 per user per month billed annually and Grain Business is $29. Both put CRM and automation features within reach of a mid-size team.

Compliance requirements have outgrown a single tool. If a customer security review asks for SAML SSO, SCIM provisioning, a documented retention policy, HIPAA support or EU data residency, Read AI packages those explicitly. tl;dv offers SCIM, custom SSO and privately hosted AI on request at Enterprise, and states it is SOC 2 compliant and GDPR compliant, with EU hosting and EU AI Act compliance listed on its official pricing page. Both are credible. The difference is how much of it is self-serve versus a sales conversation.

tl;dv leans on Zapier for breadth. Its integrations page advertises 5,000+ applications, and the Pro plan lists “+5000 integrations via Zapier”. That is genuinely powerful. It also means that for a native CRM write-back, you are often routing through Zapier rather than through a purpose-built connector - which is where Avoma, Fathom Business and Grain Business are more direct.

How I chose these alternatives

Prices and plan limits were checked against vendor pricing tables and FAQs on 14 October 2026. Otter, Granola, Krisp and MeetGeek were excluded because their current prices could not be confirmed for this comparison.

Scoring criteria, in order: summary and transcript quality, how generous the free tier actually is, price per seat at annual billing, integration depth with a CRM rather than through Zapier, collaboration and sharing controls, customisation of templates, security posture, platform coverage (Zoom, Google Meet, Microsoft Teams, in-person), migration friction, and whether the product scales past a handful of users.

Ratings on the five-point scale below are my editorial judgement on that mix.

One caveat worth stating plainly: pricing pages change, and several vendors run A/B tests on their own pricing pages. Every figure here carries a date, and if you are making a purchase decision, open the vendor’s page yourself before you sign.

1. Fathom - Best overall

Fathom is the strongest general replacement for tl;dv because it is unlimited where tl;dv is metered, and cheaper where tl;dv is not. Its free plan carries unlimited recordings, unlimited transcriptions, instant AI call summaries, clips, playlists and search across calls - no time limit and no meeting cap.

What you get and who it’s for

Fathom records Zoom, Google Meet and Microsoft Teams calls, plus in-person capture on desktop. It is adding a bot-free capture mode alongside the standard bot, currently in beta. That matters if you are the kind of person who hates a “Fathom AI Notetaker has joined” banner in front of clients. AI action items and a conversational assistant are built in, and on Business you get CRM field sync, a deal view that aggregates every meeting on an opportunity, coaching metrics, scorecards and custom summary templates across 15+ expert frameworks including BANT and Sandler.

Pricing and the free tier

The free plan is permanent and explicitly “free forever”, per Fathom’s current pricing page. Premium is $20 per user per month on monthly billing or $16 billed annually. Team is $19 monthly or $15 annual with a two-user minimum, adding global search, highlight playlists and collaboration via comments, folders and keyword alerts. Business is $34 monthly or $25 annual. Enterprise is quote-only and adds SSO, SCIM, custom retention and Launch Assist onboarding. Two discounts are worth knowing about if you qualify: the Qualified Portfolio Program gives eligible accelerator startups up to two years of Fathom Team free, and nonprofits can apply for ten free seats.

How it compares to tl;dv

tl;dv is deeper on sales-coaching workflows - playbook monitoring and objection handling sit inside Business at $59 per seat per month. Fathom is deeper on value and generosity: unlimited free usage, cheaper seats, and a public API plus MCP server. If you were using tl;dv mainly because of Zapier automation, note that Fathom gives you Zapier and Make too, plus its own public API and MCP endpoint, so the escape route is arguably better.

Our Fathom review goes deeper on output quality if you want the long read.

Verdict: switch to Fathom if note quality per pound is your priority. The compromise is real but small: below Enterprise, CRM sync is limited to three users per domain, and Ask Fathom is flagged as limited use on lower tiers.

2. Fireflies - Best for power users

Fireflies wins when the meeting recording is a data source rather than a deliverable. It has the deepest analytics layer of anything in this comparison, and the most aggressive automation.

What you get and who it’s for

Alongside transcripts and summaries, Fireflies surfaces talk-time analytics, sentiment analysis, question detection, topic and keyword trackers, speaker timelines and automatic chaptering. Ask Fred is its assistant, and it has grown AI Skills plus Personal Assistant and Email Assistant workflows. Multi-language mode lets you run one call across several languages and get a single coherent record. For teams with structure to enforce, the rules engine and user groups on Business and Enterprise are the strongest here.

Pricing and the free tier

Free is permanent but genuinely minimal, and the plan table on Fireflies’ pricing page lists roughly three transcriptions, no video, about five hours of team storage and 20 AI credits. Pro is $18 per seat per month on monthly billing or $10 billed annually, adding video recording, transcripts, downloads, email assistant and unlimited integrations. Business is $29 monthly or $19 annual with unlimited storage, 30 AI credits and team analytics. Enterprise is $39 per seat per month and is annual billing only, adding the rules engine, SSO, SCIM, audit logs, HIPAA, private storage and custom retention.

How it compares to tl;dv

tl;dv’s Business plan at $59 per seat per month annual is more expensive than Fireflies Business at $19 annual, and Fireflies Enterprise at $39 annual still undercuts it while adding SSO, SCIM and audit logs. tl;dv’s counter-argument is that its “no usage-based AI fees” promise is genuine and its transcription sits on Anthropic with EU hosting options. Fireflies does use AI credits, which means a very heavy user can run into limits or extra cost.

Verdict: pick Fireflies if you are a revenue leader who will actually read the analytics. If you just want clean notes and your calls are not high volume, the free tier will frustrate you and Fathom is the better buy.

3. Grain - Best for large mixed-access teams

Grain’s distinguishing feature is that viewers never cost money. Every plan includes unlimited free viewer seats, so a 200-person company can have 12 recorders and 188 people reading notes at no extra charge.

What you get and who it’s for

Grain runs on a workspace model with teams inside it, and AI meeting notes work with no bot required on every plan including free. It covers Zoom, Google Meet, Microsoft Teams, Webex and Slack huddles in one library, which matters if your customers do not all use the same tool. Starter adds custom AI prompts, admin controls, Slack, personal Zapier and a personal API. Business adds HubSpot, Salesforce, workspace Zapier, custom AI follow-up emails, AI coaching, trackers, team interaction metrics and unlimited uploads.

Pricing and the free tier

Grain’s pricing page lists a permanent free tier: unlimited meetings with a 45-minute cap, AI notes and action items, 30-day history, an AI notepad, desktop capture and unlimited notetaker seats. Starter is $15 per seat per month billed annually or $19 monthly, with unlimited meeting duration and unlimited history. Business is $29 annual or $39 monthly. Enterprise is quote-only and adds SAML SSO, priority API support and a dedicated CS manager. There is a 30-day money-back guarantee and no required annual contract.

How it compares to tl;dv

tl;dv allows unlimited viewers on all four plans, so Grain’s free viewer seats are a parity feature rather than a differentiator against it - the difference is that Grain makes it structurally obvious, with paid and free seats configured inside one workspace. Where Grain is genuinely cheaper is Starter at $15 annual against tl;dv Pro at $18 annual. Where it is weaker: recorded data sits in a dedicated AWS VPC in the USA, which is a harder sell to European buyers who want EU residency, and HubSpot and Salesforce need the $29 plan.

Verdict: best choice when the ratio of readers to recorders is high. Weakest if you are a solo user in a regulated EU environment.

4. Read AI - Best for enterprise and compliance

Read AI is the option to shortlist when a procurement team is the real stakeholder. It is the only product here whose Enterprise+ plan exists specifically to hold SAML SSO, SCIM group provisioning, domain capture, custom data retention and HIPAA.

What you get and who it’s for

The Meeting Assistant puts live transcription, summaries and metrics on screen during a call. Meeting Reports give a summary, topics, action items and key questions, and Meeting Coach adds a personal report on talking speed, filler words, bias and charisma. Its Ask feature searches across meetings, email and messages, and it exposes native Claude and OpenAI models inside that Search Copilot. Meeting length caps rise by tier: one hour on free, four hours on Pro and Business, eight hours on Enterprise+.

Pricing and the free tier

Read AI’s pricing page shows a free plan that is permanent and needs no card, with five meeting reports per month, one-hour maximum meetings and basic integrations. Pro is $19.75 per user per month on monthly billing or $15 billed annually, adding unlimited reports, audio and video playback, highlights and premium integrations including Notion, Salesforce, HubSpot, Jira, Confluence, Zapier and webhooks. Business is $29.75 monthly or $22.50 annual. Enterprise+ is $39.75 monthly or $29.75 annual and requires five licences. Volume discounts apply at 100, 500 and 1,000 licences.

How it compares to tl;dv

tl;dv Enterprise is quote-only but bundles SCIM, custom SSO, privately hosted AI, organization activity logs and a dedicated Success Manager. Read AI’s Enterprise+ is cheaper on paper at $29.75 annual per user. The practical differences: Read AI meters file uploads by minutes per month (100 on Pro, 200 on Business, 300 on Enterprise+), while tl;dv lists unlimited uploads and storage on Pro and above; and Read AI requires every licence in a workspace to sit on the same plan, which complicates mixed teams.

Verdict: choose Read AI when security review is the gate. Choose tl;dv when you want EU-hosted data and privately hosted AI as standard.

5. Circleback - Best free developer option

Circleback is unusual because its free plan includes API, MCP and CLI access - unusual enough that if you build anything on top of your meeting notes, it deserves a look.

What you get and who it’s for

You get AI meeting notes and action items, online and in-person capture, a choice of bot or bot-free desktop app, mobile and Apple Watch apps for in-person meetings, speaker-labelled transcripts, automatic tagging and sharing, and limited automations. There is a large free viewer concept too: Business adds unlimited free viewers so colleagues can read notes without a licence.

Pricing and the free tier

Free is $0 per user per month and keeps 30 days of meeting and recording history, per Circleback’s pricing page. Pro is $15 per user per month, adding unlimited history, one year of recording storage, automations across Notion, HubSpot, Salesforce, Attio and webhooks, custom AI insights and a personalized notetaker. Business is $25 per user per month with admin and member roles, unlimited free viewers, custom data retention, default and enforceable settings, two years of storage and a usage dashboard. Enterprise is $35 per user per month, adding SAML or OIDC SSO, SCIM, invoice billing, unlimited storage, HIPAA and priority support - with volume discounts applied automatically at the same rates for every team.

How it compares to tl;dv

tl;dv Pro at $18 annual is cheaper than Circleback Pro at $15 monthly on paper, but Circleback does not advertise an annual discount, so the gap in practice depends on your commitment. Circleback’s genuine advantages are in-person capture via Apple Watch, the developer surface on free, and automatic volume discounts that avoid a procurement call. Its weakness is analytics depth - no talk-time, sentiment or tracker layer.

Verdict: the pick for Apple-only teams and for anyone prototyping on top of meeting data. Not the pick for a sales org that wants coaching metrics.

6. Fellow - Best budget pick

Fellow is the cheapest serious paid option in the category at $7 per user per month billed annually, and it approaches the problem from the agenda rather than the recorder.

What you get and who it’s for

Fellow’s differentiator is meeting discipline: agendas, pre-meeting reminders, no-agenda-day policy, short-notice bookings, meeting purpose labels, a meeting timer, a cost calculator and optimal-attendee recommendations. On top of that sits the AI notetaker - summaries, transcription in 100+ languages, action items and Ask Fellow - plus recording libraries, custom channels, note redaction and exportable notes. Business adds sales recap templates, org-wide meeting templates, keyword tracking, a custom bot avatar and advanced CRM integration with Salesforce and HubSpot.

Pricing and the free tier

Fellow’s pricing page lists a permanent free tier at $0 giving five AI notes and five AI recordings for life, plus uploads, summaries, transcription, action items, Ask Fellow, and Google Meet, Zoom, Teams and Slack integrations. Team is $7 per user per month billed annually or $11 monthly, with a 20-user cap, ten AI notes per user per month and API access. Business is $15 annual or $23 monthly. Enterprise is $25 per user per month annual with a ten-user minimum, adding recording permissions, domain control, user provisioning, org-wide meeting analytics, AI CRM field updates and transcript redaction.

How it compares to tl;dv

At $7 and $15 per user per month annual, Fellow undercuts tl;dv Pro ($18) and Business ($59) decisively. What you give up is tl;dv’s multi-meeting AI layer, playbook monitoring and objection handling. Fellow’s SOC 2 Type II and GDPR posture is solid, and HIPAA with BAA is available at Enterprise.

Verdict: the correct answer if cost per seat is the dominant constraint and your team already runs structured meetings. The lifetime five-note free tier means you must budget for a paid plan from day one if you plan to use it seriously.

7. Avoma - Best for customer-facing calls

Avoma is built around the handoff from a call to a CRM record, and it is the only option here that treats CRM write-back as native rather than as an integration.

What you get and who it’s for

Automatic recording from your Google or Microsoft calendar, or ad hoc bot invites, across Zoom, Teams, Google Meet, Webex and GoToMeeting, with both bot-less native recording and bot-based capture. The notes layer is unusually strong: live bookmarks with custom keywords and trigger phrases, a collaborative rich-text editor usable during the call, AI-augmented notes that regenerate up to four times per meeting on custom templates, and 40+ default smart topics including Intro, Agenda, Demo, Pricing, Pain Points and Next Steps. Speaker insights cover talk time, talk speed, filler words and patience; there is a sentiment heatmap and question detection. Scheduling is built in with 1:1 links and round-robin groups.

Pricing and the free tier

There is no permanent free plan. Per Avoma’s pricing page you get an unrestricted 14-day trial of the Organization plan with all add-ons enabled and no card required; after it, your account switches to a free viewer role and you keep access to past recordings. Startup is $19 per recorder seat per month billed annually or $29 monthly, for up to 25 recorder seats. Organization is $29 annual or $39 monthly, up to 100 seats. Enterprise is $39 per seat per month annual with a ten-seat minimum, adding SSO, retention policies, HIPAA, team-specific access controls and mutually signed DPAs. Conversation Intelligence and Revenue Intelligence are separate add-ons at $29 per seat per month annual, and Lead Router is $19.

How it compares to tl;dv

The decisive difference is licensing. Avoma charges only for “recorder” seats - viewers and collaborators are always free - which can make a 50-person revenue team far cheaper than 50 tl;dv Pro licences at $18 each. tl;dv’s counter is simpler pricing: Business at $59 includes “no usage-based AI fees”, where Avoma’s deepest features sit behind add-ons that stack on top.

Verdict: pick Avoma when the meeting exists to update a deal record. Pick tl;dv or Fathom when it exists to inform the wider team.

8. Notta - Best budget transcription

Notta is the cheapest credible paid tier here and the broadest language coverage, but its free plan is effectively unusable for real meetings.

What you get and who it’s for

Notta transcribes Zoom, Microsoft Teams, Google Meet and Webex, plus uploaded files and screen recording, with speaker identification, custom vocabulary, live recording transcription, playback editing, folders, sharing and a Chrome extension. AI summaries are quota-based on every plan - 10 per month on free, 100 on Pro, 200 on Business, unlimited on Enterprise - with custom templates from Pro upward. Deeper AI sits behind Notta Brain, which runs on AI Credits: 100 credits per knowledge-base question, 200 per generated image, 300 per generated deck.

Pricing and the free tier

Notta’s pricing page lists a free plan at $0 with 120 transcription minutes per month, a 3-minute cap per conversation, 50 file uploads and 10 AI summaries. Pro is $8.17 per month billed annually, totalling $97.99 per year, with 1,800 transcription minutes, five hours per recording and 100 AI summaries. Business is $16.67 per month billed annually with unlimited transcription and 200 AI summaries. Enterprise is custom from 51 seats with SAML SSO, audit logs and unlimited uploads. Notta Brain is $93.59 per year for 8,000 AI credits per month. Notta is SOC 2 Type II and ISO 27001 certified and runs on AWS.

How it compares to tl;dv

tl;dv’s free plan is unlimited in recording length and count; Notta’s is capped at three minutes per conversation. That gap is decisive for anyone actually recording meetings. Notta wins on price and on translation add-ons, with monolingual translation at $6 per month and bilingual transcription and translation at $9 per month on top of Pro or Business.

Verdict: reasonable if your workload is heavy transcription of short recordings across many languages. Wrong tool for full-length meeting capture on a free tier.

Which tl;dv alternative should you choose?

  1. You want the most generous free tier and cheap upgrades - Fathom. Unlimited free recordings, transcriptions and AI summaries; Premium at $16 per user per month annual.
  2. You run sales calls and want coaching, sentiment and pipeline analytics - Fireflies. Business at $19 per seat per month annual.
  3. You have many readers and few recorders - Grain. Unlimited free viewer seats and no-bot notes on every plan.
  4. A procurement or security review is the blocker - Read AI. Enterprise+ at $29.75 per user per month annual with SAML, SCIM, HIPAA and retention policies.
  5. You are Apple-only, or you build on top of your meeting data - Circleback. Free plan includes API, MCP and CLI; Watch and iPhone capture for in-person meetings.
  6. Cost per seat is the hard constraint - Fellow at $7 per user per month annual, or Notta at $8.17.
  7. Every call must land in Salesforce or HubSpot - Avoma. Free viewers, native CRM and dialer write-back, 14-day unrestricted trial.
  8. You need the broadest language coverage and heavy transcription volume - Notta Business at $16.67 per month annual with unlimited transcription.

When you should keep tl;dv

Stay on tl;dv if your meetings are Zoom, Google Meet and Microsoft Teams calls, you are under about ten meetings a week, and the free plan already covers you. It is genuinely unlimited in recording and transcription across 30+ languages, has a mobile app on iOS and Android, and the Pro plan at $18 per seat per month annual adds unlimited AI notes, custom templates, action item assignment, an email follow-up drafter, global transcript search and an MCP server, API and webhooks.

Stay if you rely on tl;dv’s sales layer. Playbook monitoring, AI objection handling, voice identification and scheduled AI email insights are Business-plan features that most rivals approximate rather than match.

Stay if EU data residency is a hard requirement. tl;dv states it is SOC 2 compliant, GDPR compliant, EU AI Act compliant, hosted and stored in the EU, and offers privately hosted AI on request - all listed on its pricing page.

Stay if you are already paying for it and it works. Migrating meeting tools is genuinely tedious: you re-record nothing, but you lose search over history, rebuild automations and re-train habits. That cost is real and rarely worth paying for a marginal feature gain.

When switching makes sense

  • Your AI notes stopped at roughly ten meetings a month and you are paying for the upgrade. Switch to Fathom, where the free tier does not meter AI notes at all.
  • You take in-person meetings seriously and want a watch or phone app, or no meeting bot in the room. Switch to Circleback or Fathom.
  • You want analytics rather than notes. Switch to Fireflies, or Avoma if the analysis has to come back out as CRM fields.
  • Security review is stalling your rollout. Switch to Read AI for the packaged compliance story, or stay on tl;dv if EU residency decides it.
  • Your seat count has grown past 20 and viewers are passive. Switch to Grain or Avoma, where viewers are free.
  • You want a permanent free plan you can actually build on. Switch to Circleback for API, MCP and CLI access, or Fathom for unlimited usage.

How to migrate without chaos

Export first, cancel later. In tl;dv, download your recordings, transcripts and clips before you touch billing. Do it in batches - export is per-meeting, not bulk - and start with the last 90 days if that is all you need.

Decide what “history” is worth. No direct import of tl;dv archives was confirmed for the alternatives in this guide. If historical search matters, keep a low-cost tl;dv seat alive alongside the new tool for a transition period rather than assuming search carries over.

Rebuild automations in order of value. List what you actually automated in tl;dv - CRM field updates, follow-up emails, Slack notifications - then check whether the destination tool does it natively. If the destination only offers Zapier, you will rebuild the same Zap in the same Zapier, which is fine but takes an afternoon you should plan for.

Re-check recording consent. tl;dv exposes auto-recording defaults and recording consent settings at workspace level. Every alternative has an equivalent, and moving a recorded-meeting culture across tools is exactly when consent gaps appear.

Run both for one sprint. Two overlapping weeks costs one seat-month and removes almost all risk. The tools that show the smallest difference in output quality are usually Fathom versus tl;dv Pro; the largest differences are in analytics, which is what Fireflies and Avoma are for.

Check retention before you finish. tl;dv keeps free-plan data for up to three months; Grain and Circleback keep 30 days. If you downgrade a new tool and lose your library, you will not enjoy rediscovering it.

Final recommendation

Best overall: Fathom. The free plan is unlimited, the paid tiers are cheaper per seat than tl;dv’s, and the product covers the same Zoom, Meet and Teams ground with a public API and MCP server. The gap is CRM depth below Enterprise and tl;dv’s playbook and objection-handling features.

Best free: Fathom as well - deliberately. Circleback is the better free plan for developers because it includes API, MCP and CLI access, and Grain’s free plan is generous with viewer seats, but Fathom’s is the only one with no cap on recordings, transcriptions or AI summaries.

Best for power users: Fireflies. The analytics, automation and rules engine go furthest, at $19 per seat per month annual on Business, though the free tier is close to unusable.

Keep tl;dv if the free plan still fits your volume, if EU-hosted data and privately hosted AI matter, or if you are already on Business at $59 and value its sales-coaching layer.

Switch if the roughly-ten-meeting AI cap is costing you work, if you need in-person capture, if you want cheaper seats, or if your main output is CRM data rather than notes. In most of those cases the move is mechanical, cheap and reversible if you keep your old account for a fortnight.

Frequently asked questions

What is the best tl;dv alternative overall? Of the tl;dv alternatives compared here, Fathom takes the top spot. Its free plan is genuinely unlimited - unlimited recordings, transcriptions and instant AI summaries with no time limit - and its paid plans undercut tl;dv, with Team at $15 per user per month billed annually and Business at $25.

Is there a free alternative to tl;dv? Yes: Fathom, Grain, Circleback and Notta all offer permanent free plans. Fathom is the most generous. Circleback is the best for developers because API, MCP and CLI access are included on free.

Is tl;dv still free forever? Yes - the free plan needs no credit card and includes unlimited recordings and transcription in 30+ languages. What is capped is the AI: roughly 10 meetings with AI notes, plus a small allowance of Ask AI queries.

Which tl;dv alternative is cheapest for a small team? Fellow, at $7 per user per month billed annually. Notta is next at $8.17 per month annual. Avoma’s Startup plan at $19 per recorder seat per month annual can be cheapest in practice, because viewers are free.

Which alternative is best for sales and coaching? Fireflies for analytics - talk time, sentiment, topic trackers, rules engine - and Avoma for CRM write-back. tl;dv remains competitive here via playbook monitoring and objection handling on its Business plan.

Can I move my recordings and transcripts off tl;dv? Partly. You can download recordings, transcripts and clips from the tl;dv app, but no bulk migration option was confirmed. Export in batches before cancelling, and keep your CRM current first.

Is there an open-source tl;dv alternative? Not a credible one. Every serious product in this category is proprietary SaaS built on hosted transcription and cloud models. If open source matters, keep the source recordings in a platform you own and add transcription separately.

Does switching risk losing my data? Only if you cancel first. Export everything before cancelling, and check retention: tl;dv’s free plan keeps data for up to three months, while Grain and Circleback keep 30 days.

Common questions

FAQs about tl;dv alternatives

What is the best tl;dv alternative overall?

Fathom is the best overall tl;dv alternative in 2026. Its free plan is genuinely unlimited - unlimited recordings, transcriptions and instant AI summaries with no time limit - and its paid plans are cheaper per seat than tl;dv Pro, with Team at $15 per user per month billed annually and Business at $25.

Is there a free alternative to tl;dv?

Yes, and several. Fathom, Grain, Circleback and Notta all publish permanent free plans. Fathom is the most generous because it removes the AI note caps entirely. Circleback is the best free plan for developers because it includes API, MCP and CLI access.

Is tl;dv still free forever?

Yes. tl;dv still ships a permanent free plan with no credit card required, unlimited video recordings and unlimited transcription in 30+ languages. What changed is the AI layer: free AI meeting notes are capped at roughly 10 meetings, with a small number of Ask AI queries on top.

Which tl;dv alternative is cheapest for a small team?

Fellow is cheapest on paid tiers at $7 per user per month billed annually, and Notta is close behind at $8.17 per month. Avoma's Startup plan at $19 per recorder seat per month annual is cheaper still if viewers are free, which they are.

Which alternative is best for sales and coaching?

Fireflies for analytics and automation, Avoma for CRM write-back. Fireflies adds talk-time analytics, sentiment, topic trackers and a rules engine; Avoma pushes notes straight into Salesforce or HubSpot fields. tl;dv still competes well here with playbook monitoring and objection handling on Business.

Can I move my recordings and transcripts off tl;dv?

Partly. tl;dv lets you download recordings, transcripts and clips from the app, but bulk migration is manual. Plan an export in small batches before you cancel, and keep your CRM up to date first, because replaying history into a new tool is the slowest part of any switch.

Is there an open-source tl;dv alternative?

Not a credible one. Every serious product in this category is proprietary SaaS, and the meeting-bot architecture depends on hosted transcription and cloud models. If open-source tooling is a hard requirement, the realistic route is to keep your recordings in a platform you own and add transcription separately.

Will tl;dv lose my data if I cancel?

Do not rely on vendor behaviour. tl;dv keeps recordings and transcripts available on free with a data retention window of up to three months, so export anything you need before cancelling a paid plan. Check each alternative's retention terms too - Grain keeps 30 days on free and Circleback keeps 30 days.
