Salesforce Agentforce is an alternative outside this eight-product shortlist and requires its own licensing evaluation; Foundations is not a free, complete Salesforce CRM.

Pipedrive
Pipedrive is a pipeline-first CRM with Nova meeting intelligence from Lite at US$14/seat/month annually. Nova provides meeting preparation, transcripts, and suggested CRM updates that users review and approve. Automatic capture is distinct from approval-based record updates.
Pipedrive documents Nova on Lite and higher tiers. Confirm capture settings, approval requirements, integrations, and feature limits for the actual workflow rather than assuming all updates are automatically applied.

Each tier builds on the one below it. Zapier’s 2026 AI CRM roundup independently lists Pipedrive from $14/seat/month, which matches the vendor exactly.
Integrations run deep - Pipedrive advertises more than 500 tools including Google, QuickBooks, Asana, Slack, and Kixie - and the company shipped a native MCP server in 2026 to expose CRM workflows to external AI assistants.
The limitation: Pipedrive is a sales CRM. It does not run your service, support, or billing. If you want one platform for the whole customer lifecycle, this is the wrong shape of product, and the per-seat math gets expensive fast once everyone in the company needs access.
Close
Close includes access to Chloe across four subscription tiers, but AI work consumes credits and calling or SMS can incur separate usage charges.

Zoho CRM
Zoho CRM offers Zia-powered intelligence and agent-based automation through its broader AI ecosystem. Zoho advertises over 100 prebuilt Agent Store agents, but edition, deployment, service limits, and integrations determine access. These are not automatically included with Standard.
Zia is the AI layer - scoring, insights, and recommendations - and its capabilities deepen by edition. Zapier’s 2026 roundup also highlights Zoho’s Zia Agent Studio as the agent builder, and independently lists a free plan for up to three users with paid plans starting at $14/user/month, matching the vendor.

Zoho offers a 15-day trial. Agent Store, native Zia, and edition-specific CRM features require separate checks against the desired automation; the published agent count is not a Standard entitlement.
The limitation: Zia features vary by edition. Check the current edition comparison for each required AI capability, integration, and usage allowance. Implementation needs also depend on the workflows and partner chosen.
Attio
Attio is a flexible, object-based CRM that treats AI as a configurable layer - AI attributes can be inserted into any field and any workflow - rather than a bolt-on assistant. It is the most interesting answer here if your data model does not fit a rigid sales pipeline.
Attio’s Call Intelligence is the piece closest to the core job in this article: their own page says it records, transcribes, and logs every call as you talk, links recordings and meeting details to relevant records automatically, and supports transcripts in 100+ languages. A Focus Mode feature is designed to surface key decision makers and skip noise.
Pricing, per user per month, from Attio’s own page (monthly figure, then annual-discounted):
- Free - $0 for up to 3 seats
- Plus - $44 monthly, $35 billed annually
- Pro - $99 monthly, $79 billed annually
- Enterprise - custom
Attio uses shared workspace and personal seat credits. Free includes 250 workspace credits/month, Plus 1,500, and Pro 10,000. Separate seat credits support personal Ask Attio usage; additional workspace credits can be purchased. Model enrichment and workflow consumption alongside seat costs.
Important: Call Intelligence and sequences are a Pro feature. If you are buying Attio specifically for automatic call logging, Plus will not do it. Zapier’s 2026 roundup lists Attio paid plans from $29/user/month, which is below Attio’s own current page - The current vendor price takes precedence, and the older secondary figure may reflect a different configuration.
The limitation: you are buying a blank canvas, and blank canvases require someone to build the thing. Attio’s power is proportional to how willing your team is to design a schema. The Pro-tier gate on call intelligence also means the headline feature is not in the entry product.
Clay
Clay is an enrichment and automation layer alongside an existing CRM, not a direct CRM replacement. Its vendor-described marketplace and waterfall enrichment can improve data completeness, but do not automatically deduplicate or merge every record; those are separate data-management processes.
Clay offers a free tier with limited Data Credits and Actions. Launch and Growth are configurable by usage and billing term. A commonly displayed Launch configuration is US$167/month annually, while a displayed Growth configuration is US$446/month annually. Monthly pricing and smaller-volume configurations differ; US$54 is not the annual equivalent of the US$167 package. Use the live calculator to confirm credits, actions, and CRM sync at the intended spend.
Assess field accuracy, write-back rules, provider costs, and record-matching controls before enabling broad enrichment. Native call logging should not be assumed equivalent to a CRM’s meeting intelligence.
Folk
Folk is a lightweight contact database with AI follow-up assistants attached, built for founders, agencies, and small sales teams who live in LinkedIn and Gmail rather than in a traditional sales platform. Its fit depends on the complexity of the sales process and the required integrations.
Folk’s positioning is a CRM for what it calls “people-powered businesses,” with deep extensions for LinkedIn, Gmail, Outlook, and WhatsApp. That extension model is the point - your contact data lives in folk, and you work it from the tools you already open every morning.
Pricing, from folk’s own page:
- Standard - US$24/member/month with annual billing ($288/year), or US$30/member/month with monthly billing
- Premium - US$48/member/month with annual billing ($576/year), or US$60/member/month with monthly billing
- Enterprise - from US$80/member/month annually; confirm monthly terms
New folk workspaces receive a two-week Premium trial without a credit card. Current trial documentation requires upgrading or requesting an extension for continued access; this is not an unrestricted permanent free tier.
Folk’s own comparison article - “5 Best CRM with AI Follow-Up Assistant in 2026,” last updated July 15, 2026, written by founder Simo Lemhandez - argues that revenue is lost not mainly because prospects lose interest, but because follow-ups happen too late, lack context, or never happen at all.
The limitation: folk is not built for complex pipeline management, forecasting, or territory logic. It is excellent at remembering people and terrible at managing a $4 million opportunity with nine stakeholders. Judge it against a contact database, not against Salesforce.
HubSpot
HubSpot combines sales records, follow-up tools, and Breeze AI features within its CRM ecosystem. Availability and consumption charges depend on the selected plan, feature, and HubSpot Credits allowance.
HubSpot’s 2026 direction has been a genuine platform reset around AI agents - Agent Hub as the central place to build and manage agents across the product, plus a self-updating CRM layer. The company’s own legal product catalog is unusually clear about how seats work: every Core Seat grants “core access to all purchased products, built-in AI with Breeze Assistant, enriched data, and Smart CRM.”
HubSpot Sales Hub offers free tools. Starter varies by billing and promotions; the selector advertises from US$7/seat/month annually versus US$20 monthly. Professional starts at US$90/seat/month annually or US$100 monthly, and Enterprise from US$150/seat/month, with the account-specific commitment to confirm.
Mandatory onboarding is listed at US$1,500 for Professional and US$3,500 for Enterprise. AI agents and workloads consume HubSpot Credits; tier-specific included allowances and additional purchases affect the total cost. Breeze access does not mean unlimited agent usage. Confirm promotion eligibility, credit allowances, onboarding, and the final contract.
HubSpot’s real strength is the marketing-sales-service coupling. The follow-up email an assistant drafts can be tied to a lifecycle stage that marketing also touches, which no CRM-lite in this list can do.
The limitation: the cost cliff is brutal. Fivefold from Starter to Professional, and the meaningful automation sits above that line. HubSpot also charges on seats, so adding a sales-assistant, a CS rep, and a contractor can triple your CRM bill for people who barely touch it.
Microsoft Dynamics 365 Sales with Copilot
Dynamics 365 Sales offers built-in Copilot capabilities on eligible tiers and credit-based AI agents. A separate Microsoft 365 Copilot license is not a universal prerequisite for every Dynamics AI function.

- Sales Professional - US$65
- Sales Enterprise - US$105
- Sales Premium - US$150
- Microsoft 365 Copilot - separately licensed where additional capabilities require it
Sales Premium includes 1,000 Copilot Credits/user/month for applicable agents. Additional credits can be prepaid or consumed through pay-as-you-go arrangements; agent use can require a linked Azure subscription. Built-in capabilities and agent entitlements vary by tier, with extra licenses potentially required for premium functions.
Model licenses, credit consumption, integrations, and administration together. The Microsoft environment can be useful for enterprise workflows, but credit and license complexity require careful implementation.
What to automate first
Meeting summaries are a practical starting point because users can review them before acting. Transcript errors, missing context, inaccurate commitments, privacy obligations, and recording or retention rules can still cause problems. Notes should be reviewable and attributable to their source.
Several CRMs offer native or integrated call logging, while Clay focuses on enrichment and automation. Confirm capture, transcription, summaries, and CRM write-back separately. Start with reviewable summaries, controlled field updates, and drafted follow-ups; add merging or sending only after validation and appropriate permissions.
What to watch before an assistant auto-sends your follow-ups
Google requires SPF or DKIM for all senders to personal Gmail accounts. Bulk senders at approximately 5,000 or more messages/day have additional SPF, DKIM, aligned DMARC, and relevant marketing/subscription unsubscribe requirements. Google recommends spam rates below 0.1% and preventing rates of 0.3% or higher. One-click unsubscribe does not apply indiscriminately to every one-to-one sales reply.
Yahoo requires bulk-sender SPF, DKIM, and an aligned DMARC policy of at least p=none. A rua reporting tag is strongly recommended for monitoring, not universally mandatory.
Microsoft’s updated enforcement beginning May 5, 2025 concerns domains sending over 5,000 daily messages to consumer Outlook services, including Hotmail and Live. Messages failing required authentication can be rejected rather than merely routed to Junk.
The US CAN-SPAM Act requires applicable commercial email to use accurate identification, include a valid postal address and opt-out mechanism, and honor opt-outs within ten business days. Provider standards are distinct from legal eligibility and other privacy or marketing rules. Validate audience, permissions, suppression lists, and review controls before enabling automatic sending.
How much admin work each one actually needs
Implementation depends on integrations, data quality, permissions, and the selected automation. No fixed setup-time ranking is established here. Configure approval and write-back rules in Pipedrive and Close; map edition-specific Zia and HubSpot credit access; define Attio’s schema; and model Dynamics licenses and credits. Clay requires enrichment and matching rules alongside the existing CRM, while folk requires contact and workflow setup. Pilot with representative records before broad deployment.
Who should skip this category entirely
Small teams can benefit when repetitive administration consumes meaningful selling time. Evaluate activity volume, integration complexity, subscription and usage costs, and the value of time saved rather than an arbitrary minimum of five representatives.
Teams with poor CRM data should prioritize cleanup and permissions before enabling broad automatic updates. Regulated workflows may need additional review, recording consent, retention controls, and limits on outbound automation.
The honest verdict
Pipedrive is a strong option for structured pipelines and meeting intelligence, with Nova on Lite and suggested updates requiring approval. Close suits solo sellers and small outbound teams, subject to one-user Solo restrictions, AI credits, telephony, and higher-tier workflow access.
Zoho offers a broader CRM ecosystem with edition-specific AI; Attio suits configurable data models and automation. HubSpot and Dynamics 365 support deeper business-system integration, with additional onboarding, usage, or licensing costs. Clay is an enrichment layer alongside a CRM. Select using the required workflow and complete cost, and begin with reviewable outputs before autonomous changes.
